What about the thousands of photos we already have?
Upload them. There is no per-asset fee and no import charge, and duplicates are blocked automatically, so you can point a whole archive at it without being careful. The one thing to plan is the AI: every image gets analysed once, and that is the monthly number on each plan — 600 on Trailhead, 1,500 on Basecamp, 4,000 on Summit. A 4,000-photo archive therefore fits inside one month of Summit, or several months of a smaller plan. Nothing is lost while you wait: the files are safely in the library, searchable by filename, date, ambassador and licence from the moment they land — they simply join the semantic search as each month's analyses are used. If you would rather do it in one go, tell us before you start and we will sort out a one-month window rather than have you buy a year of a plan you do not need.
My roster doesn't fit a plan. Do I have to buy the next one up?
No — that's what ambassador packs are for. Each pack adds 5 ambassadors to whatever plan you're on for $20/month, so a five-rider programme is Trailhead plus one pack rather than a plan you've outgrown, and thirty ambassadors is Basecamp plus three packs rather than Summit's fifty. You add or drop packs yourself in Settings → Plan & usage — it takes effect immediately and is prorated on your next invoice. Packs stretch a plan rather than replace it, so each tier has a ceiling on how many it can stack — when you hit it, moving up is genuinely the better deal.
Seats vs. ambassadors — what's the difference, and do ambassadors cost extra?
A seat is an internal team member with a login — the people who organize, tag, approve and plan. Ambassadors are the creators whose content you collect, and they do not consume a seat: each plan includes an ambassador allowance (3 on Trailhead, 15 on Basecamp, 50 on Summit, 500 on Expedition) on top of your team seats. Nothing is charged per upload or per asset.
How do I get my content back out?
Originals are stored untouched at full resolution and any of them can be downloaded from the app at any time, so CrewFrame is never the only copy of anything you own. Being straight with you: there is no one-click “export everything” button yet. Today a full library export — the files together with their metadata — is something you ask us for and we produce, free, on any plan, including after you have cancelled. A self-serve export is on the list, and we would rather tell you where it stands than let you discover it on your way out.
What counts against my AI allowance?
Only two things are metered, and they are metered separately. An image analysis is the work done once per upload — the description, the keywords and the attributes — and that is the monthly number on each plan. AI product suggestions have their own smaller monthly budget on Basecamp and above. Searching is NOT metered against either: every plan, including Trailhead, gets 2,000 searches a day. You can search your library as hard as you like without spending anything you were going to need for uploads.
What happens when I hit the monthly analysis limit?
Uploading keeps working and your files are safe — what pauses is the automatic analysis, so new arrivals sit in the library without a description until the month rolls over or you move up a plan. Search, tagging by hand, approvals, planning and everything else carry on. There is also a daily ceiling underneath the monthly one, so a single runaway import can't drain the month in an afternoon.
Which currencies can I pay in?
US dollars, euros, or Swiss francs. Pick your currency at signup; it's set for the life of the subscription. Prices are shown at clean local parity.
Monthly or annual?
Both. Annual billing saves you at least two months versus paying monthly. You can start monthly and switch to annual in the billing portal whenever it makes sense.
Is there a free trial?
Yes — every plan starts with a 14-day free trial. You add a card at signup but aren’t charged until the trial ends, and you can cancel anytime before that with one click in the billing portal.
What happens if I hit a limit?
We let you know and help you add capacity or move up a plan. We never delete your content or lock out your ambassadors without warning.
Who owns the content and data?
You do. Every original, tag, and record belongs to your brand, and you can export at any time. CrewFrame is the processor, not the owner.
Do you offer a seasonal pause?
